Board of Trustees: Secretary

  • Responsible for maintaining the non-financial records for the association and its board

  • Take minutes of trustee board meetings, transcribe and distribute them to the board members in a timely manner and maintain a file of minutes and any handouts on a flash drive indefinitely.

  • Take minutes of the Association annual meeting, transcribe, and maintain them on a flash drive and have them uploaded to the Association website upon review/approval of the board.

  • Conduct voting at the annual and/or another special Association meeting, tally ballots, and maintain ballots on file for a minimum of three years.

  • Copy, stuff, and mail Association newsletter as needed or help as needed.

  • Distribute pool passes.

  • Distribute, collect and tally Association surveys as needed.

  • Responsible for scanning and maintaining electronic files of additional Board related documents as necessary and/or requested.

  • Assists President in the maintenance of documentation related to matters discussed, decided via email and/or text by the board as discussions dated according to date of decision/vote. Title to include subject.

  • Maintain a second public, a redacted copy of all Board meeting minutes to eliminate public identification of homeowners.

  • Assist in oversight of grounds maintenance to include watering as necessary.


As computer software skills allow:

  • Create Association newsletter

  • Create pool passes

  • Create forms, ballots, surveys

  • Create and contribute Board approved content for the Association website.
